Anyone who wants a table tonight reaches nobody and goes elsewhere. Many reservation platforms solve this – and charge a fee per guest for it, and the guest data sits with them. The page shows right away which times are still free that day; taken ones are struck through, closed days greyed out. If a day is full, it names the next free one.

New requests sit at the top of your overview. Confirm, decline (with a short note) or move to another table – one click each, even on your phone behind the bar.

You get every new request by e-mail. The guest gets a confirmation of receipt and, after your decision, the confirmation with a calendar entry or the decline – automatically, in your venue’s name.

No double bookings

Every reservation takes exactly one table for the set duration. A taken table is never given away twice – not even when two guests send a request in the same second.

How your guests book

Party size, day, time – one minute, no account

Your reservation page lives at your app’s address, for example baudir.app/your-cafe/reservieren. Guests reach it through the "Book" tab in your app, a button on your pages or the link itself – from your Google Business Profile, your Instagram bio or a WhatsApp message. The page is deliberately simple and loads fast, even in the Instagram or WhatsApp browser.

First the party size, then the day – the next 14 days as buttons, any other date via the calendar. After that only the times appear at which a suitable table is really free. Enter name and e-mail, optionally phone and a note such as "high chair" or "birthday", send. Spam protection runs in the background without anyone clicking traffic lights.

For the venue

The daily overview: who is coming today, to which table?

Under "Reservations" you see every day at a glance: "12 reservations · 38 guests · 2 open", below that all reservations by time – party size, name, table, status, phone to tap and the guest’s note. If requests are waiting anywhere, a yellow strip at the top shows how many; the number also appears in the menu.

On a tablet an occupancy grid is added: rows are the tables, columns the times, every reservation is a bar. So before service you see where it gets tight and where there is still room. Use ◀ and ▶ to move through the days. Service staff can get their own login for reservations only.

What you do with a request

  • Confirm – the guest gets the confirmation with a calendar file.
  • Decline – with a quick choice ("Sorry, we are fully booked at this time.") or your own message.
  • Change table – only free tables that are big enough are offered.
  • Cancel – confirmed reservations, with a message to the guest.
  • Add – phone bookings land in the same plan, without double bookings.

Automatic e-mails

Nobody has to chase anyone by phone

Every online request triggers two e-mails. The guest immediately gets "Request received" – with the clear note that the table is only fixed once you confirm, and a link to their status page. You get "New reservation request" with all details; if you reply to that e-mail, the answer goes straight to the guest.

After your decision the guest gets the confirmation with a calendar file or the decline with your message and a "Request another time" button. If the guest cancels, you learn it right away and the table is free again. The sender is your venue, for example "Café Sonne via BauDir"; guests’ replies go to your contact address.

Who gets an e-mail when

  • New request – guest: confirmation of receipt. You: all details including contact.
  • Confirmed – guest: confirmation with calendar file and cancellation link.
  • Declined – guest: your message and "Request another time".
  • Cancelled by you – guest: your message and your phone number.
  • Cancelled by the guest – you: "Table 5 is free again".
  • Log on every reservation: which e-mail went out when.

Setting up

Tables and times – set up once, then it runs

You add your tables: number or name, number of seats, Enter, next table. Twenty tables are entered in a few minutes. A table that should not be booked online – say the regulars’ table – loses the "bookable online" tick and stays available for phone bookings.

Then the times: up to three arrival windows per weekday, for example 11:30–14:00 and 17:30–21:00. You enter closed days and holidays as dates. How long a table is taken, how much notice you need and how far ahead guests may book, you set once. A checklist shows what is still missing before you go live.

What you set

  • Tables with number or name, seats and "bookable online"; order by arrow.
  • Time windows per weekday, up to three – with a template for usual hours.
  • Closed days and holidays as individual dates.
  • Interval and duration – times every 15, 30 or 60 minutes, a table taken for 1 to 5 hours.
  • Notice and booking horizon – for example at least 2 hours before, at most 60 days ahead.
  • Notice text above the form, such as "Terrace only in good weather".

App, link and QR code

With one switch your app gets its own "Book" tab. On any page you can also add the "Book a table" block, and buttons – for example in the hero image – can lead straight to the reservation. Tab and block only appear while reservations are really online.

For everyone who does not have your app yet there is the link to copy and a QR code for the menu, table stands or the shop window. The reservation page also describes your venue for search engines in machine-readable form – with address, phone and "Reserve a table" as an action.

Privacy

Guest data stays with you – and is deleted by itself

A reservation contains a name, an e-mail address and perhaps a phone number. Only your venue sees these details in the admin area – they never appear in the app or on public pages. There is no marketplace, no guest profile across venues and no sharing with third parties.

A privacy notice sits right on the form: who uses the details, what for and when they are deleted. Deletion is automatic 90 days after the reservation date, declined, cancelled and expired requests already 30 days after it. Hosting is exclusively in Germany.

The rules in short

Frequently asked questions about the Table reservation system

Do table reservations cost a commission per guest?

No. Table reservations are part of the BauDir Premium plan: a fixed monthly price, no fee per guest, per reservation or per evening, no setup fee, cancellable monthly. How many guests book through the page makes no difference to the price.

Do my guests need an account or an app?

No. Guests book through a link in a normal browser – even straight from Instagram, WhatsApp or Google Maps. They enter name and e-mail, optionally phone and a note. By e-mail they receive a personal link through which they can see the status of their reservation and cancel it.

How does the system prevent double bookings?

Table-exact. Every reservation takes exactly one table for the set duration, for example two hours. Even a request you have not answered yet holds its table until you decide. If two guests request the last free table in the same second, only one gets it – the other sees "just taken" and picks another time without retyping their details. The same check runs when you confirm, change a table or add a reservation yourself.

Which table does the guest get – and what about large groups?

The guest does not pick a table. The page assigns the smallest free table that fits the party size; you can move the reservation to another free table at any time. Tables are not combined automatically. For larger groups you set a maximum party size – anyone who enters more gets your phone number, and you plan the group personally.

Can I add phone bookings?

Yes. With "+ Add reservation" you enter a phone booking in the same overview: date, time, party size, name and a free table. The time can be chosen freely, even outside your online hours. The guest’s e-mail and phone are optional; if you enter an e-mail address, BauDir sends them the confirmation if you wish.

Which e-mails go out automatically?

For every online request the guest gets a confirmation of receipt and you get a message with all details. After your decision the guest receives the confirmation with a calendar file or the decline with your message. If you cancel, the guest learns about it; if the guest cancels, you do. The sender is your venue "via BauDir", replies go to your contact address or to the guest.

Do I have to confirm every request?

Yes, on purpose. A request only becomes a fixed reservation once you confirm it, and the page tells the guest so clearly. That way you decide yourself whether the group of twelve fits on Friday evening. You see new requests by e-mail, at the top of the overview and as a number in the menu. If a request stays unanswered until the requested time, it expires.

Can the guest cancel themselves?

Yes, until the start of the reservation via the personal link from their e-mail. You get a message right away, and the table is free again for new requests.

How do guests get to the reservation page?

Through the "Book" tab in your app, the "Book a table" block on your pages, buttons with the "Book a table" link target – or directly through the link you put into your Google Business Profile, your Instagram bio or a WhatsApp message. There is a QR code for the menu, table stands and the shop window.

Will my reservations show up on Google?

The reservation page and the start page of your app describe your venue for search engines in machine-readable form (schema.org): name, address, phone, "Reserve a table" as an action and – if your app has a map – the location. That helps search engines and AI assistants attribute the reservation correctly; whether and how Google displays it is up to Google. You can also add the link to your Google Business Profile yourself.

What happens to the guests’ data?

Name, e-mail, phone and note are visible only to your venue in the admin area, never in the app and never to other guests. The form carries a privacy notice the guest confirms before sending. Deletion is automatic 90 days after the reservation date, declined, cancelled and expired requests already 30 days after it. Hosting and e-mail delivery run on servers in Germany.

Can my staff manage the reservations?

Yes. Under "People & access" you create an account for service staff with the "Reservations" permission. They see overview, requests, tables and settings of the reservations – they do not edit the rest of your app.

Can I switch table reservations off again?

Yes. Under Settings → Features you switch table reservations off and back on at any time. When switched off they disappear from the menu and the app; your tables and reservations stay stored, and guests with a reservation can still open their personal link.

What do table reservations cost?

Nothing extra. They are included in the Premium plan – no surcharge, no limit on reservations and no commission. Cancellable monthly, no setup fee. The trial includes all Premium features, so you can set up tables and times and run through the whole flow before you decide.
