Deadline and cap

You decide until when and how many. After the deadline registration closes automatically; once the cap is reached, new registrations go on the waiting list – without you doing anything. Your own teams count.

Confirm with one click

In the "Registrations" tab you see who applied. One click on "Confirm" and the team is in the tournament – including the contact details only you can see. Waiting list and decline (with a short note if you like) work the same way.

E-mails go out by themselves

The applicant immediately gets a confirmation of receipt with a link to their registration, you get a notice. After your decision the acceptance or rejection follows – automatically, in your name, with your club as the reply address.

Still looking for teams? List the tournament publicly in the tournament search on baudir.app – any club can find it and register. The default stays "by link only": invitation tournaments appear nowhere.

Contact details stay with the organiser

Name, e-mail and phone of the contact person are visible only to the tournament management – never in the app, never to other clubs. Registrations are deleted automatically after the tournament, declined and withdrawn ones earlier. The privacy policy of your app covers it.

Switch on, announce, decide – the whole flow

Online registration is part of the tournament planner. You switch it on in the tournament under "Settings → Online registration" and enter everything a guest club needs to know. From then on registration runs via the public tournament page, which later also shows the schedule, live scores and table – one link for everything.

Every new registration appears in the "Registrations" tab with a counter for open cases. You decide: confirm, put on the waiting list or decline. Confirmed teams are in the tournament immediately; you generate the schedule as usual.

What you set

  • Deadline – empty means: until the tournament starts.
  • Cap – at most this many teams, your own count; beyond that, waiting list.
  • Age group – for example U11 or O32; shown in the tournament search and in the invitation texts.
  • Announcement – entry fee, how to pay, format, playing time, catering, parking. Shown on the registration page.
  • Visibility – "invited guests only" (default) or "public in the tournament search".
  • Registration link – to copy, as a QR code and inside ready-made WhatsApp and e-mail texts.

For the guest club

Two minutes, no account, one link to check back

The coach of a guest club opens the link from your WhatsApp message – often straight in the chat browser. They see date, venue, age group, deadline, free spots and your announcement, enter their team and submit. Spam protection runs in the background without anyone clicking traffic lights.

Right after, they receive a confirmation of receipt by e-mail with a personal link. Through it they can always see the status of their registration – received, confirmed, waiting list – and withdraw it if something comes up. The spot is then freed automatically.

What the guest club provides

  • Club and team name – this is how the team will appear in the schedule.
  • Contact person with e-mail and phone – for short-notice arrangements on match day.
  • Optionally a note: travel, questions, special requests.
  • Consent that the organiser uses the details to organise the tournament.
  • If the tournament is full, the page says so honestly – and accepts the registration for the waiting list.

Cap and waiting list

Full is full – and you still lose nobody

Twelve teams fit the timetable, no more. As soon as twelve are confirmed – your own included – the registration page only accepts further teams for the waiting list and says so clearly beforehand. If a team cancels or withdraws, the spot is freed and you move the next one up from the waiting list: one click on "Confirm".

The deadline works for you as well: after it, registration closes automatically, the tournament page no longer shows the button, and the tournament disappears from the tournament search. None of that needs switching off by hand.

How the cap is counted

  • Taken are all teams in the tournament – your own and confirmed guests.
  • Free is the difference to the cap; shown on the registration page, in the tournament search and in the invitation texts.
  • Waiting list starts automatically once nothing is free – the applicant learns this before submitting.
  • Withdrawal by the guest club frees the spot immediately; registering again is possible while registration is open.
  • Confirmed teams stay in the tournament even if you close registration later.

Finding teams

Invite via WhatsApp, QR code – or through the tournament search

Most tournaments fill up through friendly clubs. For that, a ready-made WhatsApp text sits in the tournament: name, date, venue, age group, deadline, free spots and the registration link. One tap on "Open WhatsApp", pick recipients, send. For clubs that prefer e-mail there are subject and text to copy – and a QR code for the registration link for the notice board at the neighbouring club.

If that is not enough, switch the tournament to "public in the tournament search". It then appears on baudir.app/turniere – with sport, age group, date, venue, free spots and deadline, filterable for any club looking for a tournament. No BauDir account needed.

Privacy

What is stored – and for how long

A registration contains personal contact details. That is why handling them is deliberately tight: name, e-mail and phone of the contact person are visible only to the tournament management in the admin area. The public tournament page, the schedule and the app show the team name only. Other clubs never see who else has registered.

The data serves solely to organise the tournament and is deleted automatically afterwards: confirmed registrations no later than 90 days after the tournament ends, declined and withdrawn ones after 30 days. The privacy policy of your app has its own paragraph for this – we added it for all customers.

The rules in short

  • Contact details of applicants are visible to the tournament management only – never in the app, never to other clubs.

Frequently asked questions about the Tournament registration

Do guest clubs need an account or the app to register?

No. Registration runs through a link to the public tournament page – in a normal browser, even straight from WhatsApp. The guest club enters club, team name and a contact person and submits. There is no password and no sign-up; a personal link in the confirmation e-mail later shows the status of the registration.

How is the entry fee paid?

That stays between the clubs, as before. The app does not handle money – on purpose, because every club does it differently: bank transfer in advance, cash on the day, netting against the return visit. You write amount and payment method into the announcement, it appears right on the registration page, and the guest club has the information before registering.

What happens when more teams want in than there are spots?

You set a cap. Once it is reached – your own teams count – the registration page accepts further teams for the waiting list only and says so before submitting. If a team withdraws or you decline one, the spot is freed and you confirm the next one from the waiting list with one click.

Can I decline a registration – and does the club learn why?

Yes. When declining you can add a short note, such as "Unfortunately full already, happy to have you next year" or "Age group does not match". It is included in the rejection e-mail the applicant receives automatically – with your club address as the reply address in case they want to ask back.

Can one club register several teams?

Yes, each team is its own registration with its own name, for example "FC Example U11 I" and "FC Example U11 II". The same contact person can enter both; each registration gets its own status link. Duplicate registrations of the same team are caught by the page while the first one is still open.

What do other clubs see of a registration?

Only the team name – and only once you have confirmed the team and it is in the schedule. Name, e-mail and phone number of the contact person are visible to the tournament management in the admin area only. No contact details appear on the tournament page, in the app or in the tournament search.

What is the difference between "by link only" and "public in the tournament search"?

With "invited guests only" (default) the tournament appears nowhere publicly – only those with the link or the QR code can register. With "public in the tournament search" it is additionally listed on baudir.app/turniere, where any club searches tournaments by sport, age group, venue and date. You can switch at any time; after the deadline the tournament disappears from the search automatically.

Can a guest club withdraw its registration?

Yes, at any time via the personal link from the confirmation e-mail – as long as registration is open. The spot is freed immediately; registering again is possible. If the team is already confirmed and in the schedule, it stays there until you deliberately remove it in the tournament – we never delete schedules silently in the background.

What happens after the deadline?

Registration closes automatically: the button on the tournament page disappears, the registration page says that no more registrations are accepted, and the tournament no longer appears in the tournament search. Without a deadline the tournament start applies. You can extend the deadline at any time or close registration earlier.

Are the contact details of applicants deleted at some point?

Yes, automatically. Confirmed registrations are deleted no later than 90 days after the tournament ends, declined and withdrawn ones 30 days after the decision. The privacy policy of your app describes online registration in its own paragraph – which details, what for, legal basis and retention periods.

How do the teams get into the schedule?

With "Confirm" the registration becomes a team in the tournament – including the contact details only the tournament management can see. Then you generate the schedule as usual: choose the format, check the preview, done. Teams that register after the first schedule can be added afterwards; the schedule can be regenerated or completed by hand.

What does online registration cost?

Nothing extra. It is part of the tournament planner in the Premium plan – no surcharge, no limit on registrations or tournaments. Cancellable monthly, no setup fee. The trial includes all Premium features, so you can run a complete registration including the tournament before you decide.
